All board members are volunteers and not paid. Without volunteers, we will move governance to a management company and annual fees will increase.
Below is a sample of the duties you can thank the Board for:
Financial
- Balance the Books and Finances, and open books for inspection by any member requesting review within a reasonable number of business days
- Pay Vendors
- Procure Vendors for Bids / Quotes like Mowing, Landscaping, Underground Sprinkling, Plumbing, Electrical, in order to fit into annual budget, select vendor, and then directly manage these vendors through work completion
- Prepare Annual Budget
- Communicate in timely manner to members
- Determine annual dues, and send Invoices to Homeowner members
- Invoice all members annually.
- Receive and deposit payments from Members for Dues
- Resolve delinquent member accounts by knocking on doors, late invoices, fees, etc.
- Placing liens on accounts/properties who have not paid, including all legal and filing costs for Liens , for more information click here
- Work with Mortgage, Realtors, Title Companies to settle accounts and confirm payment when home ownership transfers.
- Manage Common Areas, ensure they are fully insured, working with insurance company for annual renewal, and maintain certificate of insurance available for any member to review within a reasonable number of business days.
- Review/Approve Member Property Improvements as listed in the association by-laws.
Customer Service
- Answer Questions, resolve disputes, handle complaints through email, facebook, phone, or other means
- Log/Track these these issues as they arise in order to create a trackable list of member connections.
- Have meetings at least once per quarter. More often if board members are new.
- Immediately address facility issues like when the sprinklers are cut by AT&T out in the front common area, or other association related issues, following through to resolution (for example, getting AT&T to fully pay for the repairs).
- Kindly point members to township, police, or other sources for issues that are not association related (examples:)
- My neighbor keeps parking in front of my home
- The bike path needs repair
- There is a basketball hoop on the sidewalk
- Turn on/off Sprinklers in Spring/Fall working with Township to acquire meter
- they turn off sprinklers
- Approve use of open area (like gardens, play sets, etc)
- Enforce Rules and assess fines for repair of open areas by members
(examples)- Repair Open Area Grass when vehicle drives over it, and assess charges for repair to homeowner(s) responsible
- Repair Open Area Landscaping from Snowmobile damage, and if a neighbor is found to be responsible assess homeowner
- Deal with neighbor buildings and fences or pools that have not been approved, up to and including replacement.
- Manage all construction, repairs, landscaping, or anything happening on common property.
- Perform all other duties listed in association by-laws.
